Use this form to:
- Add an event to the Whole Washington Events Calendar
- Receive RSVPs (optional)
- Promote the event through email, text, and social media as appropriate
To be considered, each event must have a Whole Washington point of contact.
Before submitting, take some time to review what’s needed below. You’ll focus on 5 sections.
1. EVENT TITLE
- For in-person events, include the city or town IN CAPS, before the event name.
- Example: SEATTLE Pride in the Park
2. EVENT DESCRIPTION - most of your details will go in this free-form section
Do your best to cover all of the following:

- We'll let you know when your event is up and ask any follow-up questions.
Do you want to receive RSVPs?

- If you want RSVP's, please specify: RSVPs YES and include the email to send them to. You'll get an invidual email to see who's coming, the shifts they selected, and any needs or questions they may have.
- You can specify a cut-off time for RSVPs if you don't want last-minute signups. Specify that time here.
Details for In-Person Events

- Include your venue address here, even though there’s a field below too. This helps us verify the correct location.
- Briefly describe the event overall:
- Example: ‘This is an annual street fair’
- How is Whole Washington involved:
- Example: ‘Whole Washington will have a table’
- Are you recruiting volunteers?
- Example: ‘We’re looking for volunteers to set up, staff the table, and break down.’
- Break down into shifts if appropriate. Two hours of human interaction per shift is a good guide.
- Example: ‘We want to fill three shifts: Set-up to 2 PM, 2 PM to 4 PM, 4 PM to Breakdown.’
- Instructions to your volunteers or attendees.
- Example: 'Meet John in the south end parking lot. Wear your Whole Washington T-shirt if you have one.’
- Details may develop or change as the event gets closer. We can update and include in communications.
For County / Local Team Meetups

- If possible, include the month’s top agenda items:
- Example: This month, we’ll discuss local business outreach and plan for tabling at the farmer’s market.

3. EVENT TIME & DATE
- NOTE: Recurring events must have the same location (or be virtual). If the venue changes, the event must be added individually.
4. VIRTUAL EVENT - this would include Hybrid events
- For online meetings or hybrid events, you can request a Zoom link; however, you’ll need someone with Zoom access to open the meeting.
- Alternatively, if you use Google Meet you have more local control and can open your own meetings.
- If you have a @wholewashington.org email, you have access to Google Meets with unlimited time.
- If you already have a link, click Configure Virtual Event and add it there.
5. VENUE DETAILS
Click inside the Venue field that says Create or Find a Venue. A list of venues will appear.
- If you see your venue, click on it to select it.
- If it doesn’t appear, click inside the box. Type the name of the new venue in the box, press enter, and fill out the address details.
Finally,
- Add your name to Organizer Details.
- You can leave Event Cost blank.
- Click on Submit an Event.
